Privacy and Document Submission
MOTOEXPERT document submission should follow clear data protection, purpose limitation, minimisation and anonymisation principles. Candidates and appraisers should submit only documents required for the specific review stage.
Submission principles
Document submission should be structured and limited to the necessary purpose.
Purpose limitation
Documents are submitted for membership, candidate review, certification, recertification or status review.
Data minimisation
Do not submit unnecessary personal data, unrelated case files or random attachments.
Sample work without third-party data
Previous appraisals and calculations should be anonymised before submission.
PDF preferred
PDF files are preferred for structured review and document control.
Controlled access
Submitted documents should be accessible only to authorised persons involved in the review.
Limited retention
Documents should be retained only as long as necessary for association purposes and legal or organisational obligations.
Important notice before upload
Do not upload documents containing personal data of third parties unless MOTOEXPERT has specifically requested them for a justified review purpose. Sample appraisal documents must be anonymised before submission. Submitting documents does not mean admission to MOTOEXPERT or certification as a MOTOEXPERT appraiser.
Structured request type
To avoid unstructured e-mail traffic, document submissions should be assigned to a request type such as new candidate application, supplementary candidate documents, certification review documents, certificate status update, membership question or other association matter.
